Executive Assistant

Catalent Pharma Solution are looking to secure an Executive Assistant to join our team at our Singapore facility.

The position of Executive Assistant will report directly to the site manager and see you preside over a wide range of tasks and responsibilities to maintain the smooth running of the site.

The Role

  • Day-to-day administrative responsibilities including, scheduling meetings, maintaining complex calendars, coordinating extensive travel plans (including international), placing and receiving phone calls and faxes, processing expenses, generating correspondence and maintaining paper and computer files.

  • Procurement activities including the set-up of new vendors, raising purchase requisitions, performing system receipts and physical receipt of equipment and general site supplies.

  • Meet and greet site visitors, both internal and external.

  • Schedule travel, appointments and meetings including logistic arrangements for site visitors, Coordinate lunches and dinners with internal and external business clients.

  • Organise, reserve, and oversee conference room assignments.

  • Collaborate with other team members including Operations, Financial department and HR to create and follow policies including company handbook.

  • Prepare reports, invoices, summaries, travel itineraries, and other documents.

  • Create, read, analyse, file, retrieve and organise documents, invoices and orders.

  • Performance of professional level tasks that are sensitive in nature, requiring independent judgement, initiative and tact.

  • Site point of contact for all office management areas including fire drills, building closure timetable, internal Companywide initiatives, including Catalent Cares, Engagement and the Customer Experience

The Candidate

  • Diploma in Business Administration or equivalent and a minimum of 3 years’ experience required. College degree and additional Human Resources experience would be an advantage.

  • Organisational skills and the ability to multitask are essential as are self-motivation, critical thinking skills, and decision-making skills.

  • Advanced software skills - Outlook and MS Office - PowerPoint, Word and Excel.

  • The ability to understand both written and oral instructions and the ability to interact with other departments in excellent English at all levels is required.

  • Demonstrated ability to work effectively in a team environment, manage multiple priorities, exercise sound judgement, be well organized, be flexible, work well under pressure, and produce accurate and timely work.

  • Professional demeanour/ ability to interact with internal/ external customers in a positive and professional manner.

  • Ability to evaluate and correct general administrative problems/ exercises good discretion and judgement when solving administrative issues and/ or handling information of a sensitive or confidential nature.
